Since early April, Alpha have been working with Motorsport UK on a plan to help us all get back racing as safely as possible.
Alpha was founded in 2013 to help championship organisers and time keepers to manage their motor sport events. Our background is in kart racing (as both competitors and organisers) so we have grown to provide our software to nearly all of the kart clubs in the UK. Over that time we have worked extensively with Motorsport UK on several projects including a UK wide tyre barcoding system and provision of our club management software to the Motorsport UK British Karting Championships.
When Motorsport UK found out about our plans to offer digital signing-on, digital scrutineering and digital briefings to our existing clients they got in touch to see if we could offer our software to all Motorsport UK clubs who might be interested.
Accordingly we have come up with a very special offer for Motorsport UK clubs who wish to make use of all of the tools that we have developed (and are just finishing off developing) to enable us all to get racing again during these extraordinary times.
The heart of our software is our online Club Management System. All of the functions that will help you get racing, whist managing everything digitally, are built upon our Club Management System.
The Club Management System is an online web application accessible from anywhere in the world with an internet connection. As an event organiser you can use it to create events, take entries and payments online, manage memberships, allocate transponders, send out mass emails and much more. It is fully GDPR compliant with club privacy policies, consent logs, auto archiving and redaction rules as well as fully encrypted data hosted on our world class servers.
Allow your members to enter and securely pay online for practice events, race events, championship entry fees, membership fees, tyres and whatever items you want to sell in your own club shop.
As the organiser you simply instruct the club management system to send out a special signing-on link to all attendees. The attendees then click on the link, fill out their details (much of which is pre-filled) and sign it. They can do this where ever they are in the world using any mobile, laptop or computer.
The signing-on declarations are fully configurable with custom fields, various field types and conditional logic. Your club's account with us will pick up the Motorsport UK declarations automatically but if you want to setup your own declarations for non-licenced events you are more than welcome to do so.
To go along with the new ways of working we have built a reception module to allow you to keep track of who has turned up to your event or not. From there you can check them in, take payments and, in the not too distant future, send people notifications and / or text messages to their mobile phones for announcements.
Competitors enter details of their vehicles into your events from their mobile, laptop or computer. The details are logged in the club management system with a full audit log of any changes made.
Scrutineers are given access to the scrutineering part of the club management system. From there they can select a class and a driver easily and efficiently. Scrutineers can make changes, revoke vehicles and see a full audit trail of changes made to the vehicle and any other items which may form part of that entry.
Create written briefing notes and distribute them electronically through the signing-on links and via the entry system. Competitors must read and accept that they understand each clause in the briefing.
Full record of who has and who hasn't read the briefing notes and how long it takes them to complete it. Can be used as proof to insurers that the briefing was understood by your competitors.
We are currently working hard to give clubs the ability to manage all of their judicial and appeals paperwork online, very much in the manner in which the digital signing-on functionality has been developed.
Officials and stewards will have the ability to create, send and receive digital paperwork to or from other officials working on your event.
This will be fully integrated with our new mobile app that we are developing which will allow officials to send notifications to the driver's mobile phone that they are under investigation or that they have been issued with a penalty. Drivers will have the ability to appeal as required and sign all of the paper work digitally.
We aim to launch the mobile app in early 2021. It will be available in the Apple App Store and Google Play Store.
